Any small business with a concern about cost-effective and well-organized solutions for telecommunications has probably been informed that the trending Voice over Internet Protocol (VoIP) telephone is the top choice in today’s tech-driven society.

As best as any individual can tell at first glance, it looks as if Voice over Internet Protocol (VoIP) services are answering many, if not all of the primary communication and telecommunication needs businesses require from telephone systems.

The advantages of Voice over Internet Protocol (VoIP) over traditional telephone systems are enormous. Virtually every small business stands to greatly benefit by this convenient and sophisticated communication technology. Today in this article, we have gathered some of the most important benefits of Voice over Internet Protocol (VoIP) system.

Benefits of VoIP That Your Business Can’t Ignore

Below are the top 10 reasons you should consider implementing a Voice over Internet Protocol (VoIP) telephone system in your business.

1. Lower Costs

Cost savings is one of the great advantages of Voice over Internet Protocol (VoIP) that virtually any small business can appreciate. You can only install and integrate so many telephone lines and cost quickly adds up, especially if your company consistently makes long-distance calls.

With communication data being modified into the form of data packets & sent over the IP network, the problem of a single telephone line being able to be utilized by mere two callers is now eliminated. The newest IP network could be the direct IP connection to your company’s phone service provider or simply the existing internet connection (or can be a combination of both).

Traditional telephone lines generally charge for every single minute of call time, where with Voice over Internet Protocol (VoIP) your only costs are your monthly charges from your ISP.

2. Versatility of Features

Using Voice over Internet Protocol (VoIP) phone systems helps you to multitask with the most tech-savvy gadgets, allowing you to be as productive as you can be.

Let’s say you are on a phone call within a queue. While you’re waiting, you can strategize the approach to client calls you’ve missed as you read the voicemail-to-text transcriptions or scripts that are sent directly to your email inbox.

In another scenario, you can forward your messages and voice mail more easily. If you receive an important message in your voicemail, you can then forward that emailed voicemail to three other people in just a single click.

These features and functionalities are available with Voice over Internet Protocol (VoIP) phone systems. And since the service always goes with you, the features and functionalities you find helpful can be included or subtracted with utmost ease. In short, Voice over Internet Protocol (VoIP)  telephone systems grow with your company or business.

3. Worldwide Access

More employers are discovering the advantages of having their staff work from their house in exchange for the smaller office spaces, reduced utilities costs, etc.

What they were also discovering are the advantages of Voice over Internet Protocol (VoIP) that helps their employees to telecommute more conveniently. Voice over Internet Protocol (VoIP) helps employees to remotely utilize the voice, fax, & data services of your work place via your intranet.

Voice over Internet Protocol (VoIP) technology has become greatly portable, helping users to connect from home offices & abroad. What’s more important is that your employee’s number follows them to their new house office when they make any change.

4. Feature-rich

Voice over Internet Protocol (VoIP) allows all users with advanced calling features and functionalities that previously were only available to the largest enterprise users, like voicemail to email transcription, or find me/follow me call routing feature, virtual office & customized music on hold.  Everything can be effortlessly activated & deactivated in real-time with the help of a secure portal.

5. Better Use of Bandwidth

One of the little known advantages of Voice over Internet Protocol (VoIP) is that it makes for a more convenient use of the existing bandwidth. As about half of voice conversations are usually made up of silence, Voice over Internet Protocol (VoIP) continues to fill those important data gaps with other information from other bandwidth users to make better use of your resources.

What’s more crucial is that Voice over Internet Protocol (VoIP) helps for compression & elimination of speech redundancies to further enhance efficiencies.

As your company grows and adds employees & new locations, just lease more telephones and include them to the existing business plan. Even when relocating to your new office is easy: just pack up all the phones and plug them in at the new website.

And it’s just as effortless to deactivate customers or locations. Also, if a company has got multiple locations, the Voice over Internet Protocol (VoIP) connects all your locations into one seamless phone protocol system, helping for greater productivity.

6. Extensive Additional Functionalities

Many companies don’t fully understand all of the advantages and additional functionalities that are added in your Voice over Internet Protocol (VoIP) service. VoIP systems help you to connect a wide range of devices to keep your company’ productivity high.

Voice over Internet Protocol (VoIP) services typically have features such as caller ID, virtual numbers, contact lists, or voicemail etc., but these functionalities can all be used in a more sophisticated manner to boost operational efficiency.

Let’s say, voicemails and your messages can be forwarded to many colleagues with just a single click, and voicemail-to-text scripts can be delivered directly to your inbox area so they can be then reviewed while on the go.

Many new functionalities are added in various provider packages &, because of the flexible nature of the Voice over Internet Protocol (VoIP) service, custom VoIP services can now be designed based on the unique needs of your company.

7. Efficient Client Interaction

In today’s world’s economy, companies can be located anywhere. This often means that business meetings need travel. Even so, with a Voice over Internet Protocol (VoIP) service there’s no such reason to lose the ability to conduct crucial calls or to fail to forward essential business documents.

In the last couple of months, you may have noticed that some major companies such as Coca-Cola & JPMorgan Chase have successfully eliminated voicemail. While this kind of move may not be suitable for every company, some major companies have apparently found that answering the voicemails just needs too much time.

With a Voice over Internet Protocol (VoIP) phone system, you can select where your calls ring & how. For example, you might choose the first few rings to be forwarded to your work space. If you don’t pick the call, then it’ll be transmitted to a second or to third device, like a mobile phone or laptop. Simply speaking, calls don’t require to be missed anymore if they’re urgent.

Important business documents that have to be forwarded now no longer have to wait either. Using Voice over Internet Protocol (VoIP), business associates can e-fax their company’s documents instead of waiting a day or two to get to a fax machine.

8. Network Flexibility

One of the advantages of using Voice over Internet Protocol (VoIP) is that your IT team will enjoy that its (VoIP) underlying network need not be a part of a certain technology layout. That clearly means your existing ethernet, or SONET, or ATM, or even your WiFi can be used as the foundation for your business network.

The complexity of PSTN (old) phone networks is now virtually eliminated. This helps for a more standardized network system to be implemented that allows a variety of communication types while being much more tolerant of faults & needing less management of equipment.

9. Ease of Installation, Configuration, Maintenance

Another great advantage of Voice over Internet Protocol (VoIP) is that IP phones are extremely easy to install – even for those who are even less technically savvy. There’s no requirement of having expert technicians running the phone wiring throughout your work space. Instead, IP phones are virtually plug-&-play.

Hosted VoIP software also makes it extremely simple to add any new users, and a web portal makes moving, including, or changing your VoIP systems configuration much more easier. All of this clearly means maintenance is straightforward & rarely needs professional support.

10. Easy Integration with Other Business Systems

Your company likely utilizes varieties of other systems & technologies to enhance your operational capability. VoIP effortlessly integrates with a wide range of existing business systems.

That means you will realize all of the advantages of Voice over Internet Protocol (VoIP) without requiring any sort of modification of your existing applications or IT infrastructure. For example, your company’s outbound calls can be placed through Outlook or other email systems & customer records can also be viewed during the inbound call with said user.

It sure was nice that you pointed out that one of the advantages of Voice over Internet Protocol (VoIP) is the low operating costs. As you said, this benefits a company that consistently makes long-distance calls. I will share this with my supervisor at work because their clients in the office are mostly overseas, and they are looking to cut down on the monthly costs. They said that they need to shorten meeting hours due to the need to reduce monthly costs, so I will ask him to consider a hosted VOIP system.
